Availability poll: see when everyone is free
Instead of offering a few fixed times, show a grid of days and hours. Everyone paints the hours when they are free, and PollIt shows where the group overlaps and which times suit the most people.
How it works
- Choose the days: specific dates, or days of the week such as "any Monday" for a regular slot. Then set the hours, for example 9:00 to 18:00, and the size of a cell: 15, 30 or 60 minutes.
- Share the link. Each person drags across the grid with the mouse or a finger to mark when they are free, and can paint some hours as if need be.
- Busy times from your own calendar can appear as hatched cells, and one button fills in your free time from it.
- The group view is a heat map: the stronger the colour of a cell, the more people are free. Touch a cell to see who is free, who is free if need be and who is not.
The best times, for any length
Next to the grid, PollIt lists the best times for the length you need, from 15 minutes to four hours. It looks for stretches where as many people as possible are free for the whole time, counts if need be as a weaker yes, and stretches each window for as long as the same people stay free. Each suggestion shows how many people can make it and who they are.
When you decide, pick one of these times. The decision goes out like any other, with links to add it to a calendar.
Time zones
A grid of dates is shown in each person's own time zone, so a team spread over several countries paints in local time and still sees the same overlap. A grid of weekdays uses the same clock times for everyone.
Grid or meeting poll?
Use a grid when you don't know yet which times to offer and want to see everyone's free hours, for example to set up a weekly rehearsal or to find a slot across several time zones. Use a meeting poll when you already have a short list of dates and want a clear answer for each.
Settings you can use
- Names visible to everyone, only to you, or no names at all.
- A deadline, a password, personal invitations and a limit on participants.
- Comments, notifications of new answers, and an export of all answers to a spreadsheet (CSV) or JSON.
Good for
Band rehearsals, study groups, sports training, game nights, office hours across time zones, and any group that needs to find time together, once or every week. The template When is everyone free? starts with a week ready to paint. If you know When2meet, Crab.fit or LettuceMeet, the grid will feel familiar.
