Sign-up sheet: who brings what, who takes which slot

A sign-up sheet lists things that need people: dishes for a potluck, shifts at a stall, places on a trip. Each line has a number of places, people put their name down, and when a line is full, it is full.

Create a sign-up sheet

How it works

  1. Add the items or slots. Give each one a number of places, or one number for all. A date and a time are optional, so the same sheet works for shifts and for things to bring.
  2. Decide whether people may take several places or just one each, and whether a waiting list opens when a line is full.
  3. Add your own questions if you need them, for example a phone number, a T-shirt size or dietary needs.
  4. Share the link. People sign up in seconds, and can change or withdraw their entry later from their personal link.

Places, waiting lists and fairness

Places are given strictly in order: first come, first served, checked on the server at the moment of signing up, so two people cannot take the last place at the same time. With a waiting list, people can still sign up for a full line, and when someone withdraws, the first person waiting moves up.

Settings you can use

  • Names shown to everyone (the default, so people see who brings what), only to you, or not at all.
  • E-mail addresses not asked, optional or required; people who give one get a confirmation with their personal link.
  • A deadline, a password, a limit on participants, and personal invitations.
  • Comments, for questions such as "Is anyone bringing plates?"
  • An export of the whole list to a spreadsheet (CSV), or a printout.

Good for

Potlucks and parties (the Potluck: who brings what template), volunteer shifts with a waiting list (Volunteer shifts), carpools, parents bringing cakes for a class, cleaning rotas, or places on a workshop or a trip. If people should instead pick a time from your calendar, use a booking page.
